Business Operations Support Specialist

For strengthening our team designing systems solutions for quantum and high-performance computing, we are looking for a Business Operations Support Specialist.

JOB SUMMARY

This position involves working with the company’s Head of Business Operations, providing the support in a wide variety of tasks.

DUTIES AND RESPONSIBILITIES

  • Administrating company Salesforce.
  • Creating, approving, and processing invoices.
  • Creating, approving,and processing purchase orders.
  • Maintaining and organizing electronic files. Managing document accuracy.
  • Coordinating deliveries of supplies.
  • Tracking orders and shipments and assisting with tracing as needed.
  • Providing timely and accurate shipment information to vendors and carriers.
  • Effectively delegating operational responsibilities to appropriate individuals / positions.
  • Ensuring statutory regulations and internal policies and standards are followed.
  • Maintaining regular communication with supervisor and across the whole organisation, in particular with Sales, Customer Service, and Product Development.

EXPECTED EDUCATION AND EXPERIENCE

  • Bachelor’s Degree in business administration, computer science, engineering or computer science engineering, or equivalent experience.
  • Certified Salesforce Administrator.
  • Proficiency with standard Microsoft Office packages (Outlook, Word, Excel, Powerpoint, etc.)

ESSENTIAL SKILLS

  • Experienced Salesforce Administrator.
  • Time management and critical thinking skills.
  • Ability to offer technical assistance with confidence.
  • Excellent time management skills and attention to details.
  • Ability to quickly acquire new skills.
  • Excellent problem-solving skills and analytical ability.
  • Ability to effectively communicate across all levels.
  • Fluency (written & spoken) in English and good understanding of German required.

DESIRABLE SKILLS

  • Experience in Supply Chain.
  • Experience with invoicing and handling of purchase orders.

JOB CONDITIONS

  • Location Switzerland or Germany.
  • Flexible working hours, flexible workplace including home office.
  • Office environment available at our German headquarter in Munich.
  • Occasional travels, mostly to destinations in Europe.
