Bid and Proposal Manager

Job Summary

The Bid and Proposal manager will report into the lead Bid & Proposal Manager and is responsible for overseeing the development and submission of high-quality bid and proposal documents to secure new business for the organization. This role requires a strong understanding of the bidding process, excellent writing and communication skills, and the ability to collaborate effectively with various teams within the organization.

Primary Duties and Responsibilities

  • Proposal Writing:
    • Lead the development of compelling and persuasive proposal documents.
    • Ensure proposals adhere to client requirements and RFP guidelines.
    • Coordinate with subject matter experts to gather necessary information and content.
  • Bid Coordination:
    • Manage the bid process from start to finish, including scheduling, resource allocation, and quality control.
    • Coordinate with various teams, including sales, operations, finance, and legal, to ensure timely and accurate proposal submissions.
  • Bid Strategy Development:
    • Collaborate with sales teams to identify and qualify potential bid opportunities.
    • Develop and implement effective bid strategies, including positioning, and messaging.
    • Conduct market research and competitor analysis to inform bid strategies.
  • Bid Evaluation:
    • Analyse bid results and identify areas for improvement.
    • Provide feedback to the lead Bid & Proposal Manager and sales teams on proposal performance and strategies.
  • Proposal Database Management:
    • Maintain a centralized database of proposal documents and templates.
    • Develop and implement standard operating procedures for proposal management.

Required Skills and Qualifications

  • Bachelor’s degree in business administration, marketing, or a related field.
  • Proven experience in bid and proposal management, preferably in a similar industry.
  • Strong written and verbal communication skills.
  • Excellent organizational and time management skills.
  • Ability to work under pressure and meet tight deadlines.  
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Knowledge of proposal writing software (e.g., Adobe InDesign, RFPIO) is a plus.
  • Fluency (written & spoken) in German & English is required.

Desirable skills and Qualifications

  • Experience in a project management role.
  • Knowledge of public procurement and government contracting regulations.
  • Familiarity with CRM and proposal automation tools.
  • Strong interpersonal skills and ability to build relationships with clients, business partners and internal stakeholders.

Job conditions

  • Flexible work hours, flexible workplace including home office
  • Office environment available at our German headquarter in Munich
  • Occasional travels, mostly to destinations in Europe
